Cancellation, Weather & Payment Policy

We want your dragon boat experience to be fun, safe, and stress-free. Because we operate on the water, weather is sometimes unpredictable. The policy below is designed to be fair to our teams while allowing us to safely and reliably run our programs.

1. Minimum Participation

  • Each event requires a minimum of 10 paddlers to proceed.
  • If fewer than 10 paddlers arrive on the day of the event, the session will be cancelled with no refund, as boats, staff, and equipment have already been reserved.

2. Payment & Booking

  • A 30% non-refundable deposit is required at the time of booking to secure your date, boats, and coaches.
  • Full payment is due 48 hours before the scheduled event.
  • Events not paid in full by this time may be considered cancelled by the client.

3. Client-Initiated Cancellations

We understand that plans can change. If you need to cancel your book, the following applies:

  • 48 hours or more before your event:
    • You’ll receive a full refund of all payments minus the deposit.
  • 24–48 hours before your event:
    • The deposit is retained. For smaller bookings (under $750),we refund 50% of the remaining balance. For bookings of $750 or more, we refund 75% of the remaining balance.
  • Less than 24 hours before the event or no-shows:
    • Unfortunately, no refunds can be issued, as staff, boats, and equipment have already been scheduled.

Whenever possible, we’re happy to apply cancelled bookings as a credit toward a future date, subject to availability.

4. Weather Policy (Rain or Shine)

We paddle rain or shine, but safety always comes first.

Sessions will not run in unsafe conditions, including: – Thunder or Lightning – White-capped waves – Extreme winds – Torrential downpours

Thunder & Lightning Protocol

  • If thunder is heard or lightning is seen, all boats must paddle back to shore immediately and exit the water.
  • We will wait 30 minutes from the last sight or sound of thunder or lightning before returning to the water.

5. Weather-Related Cancellations & Interruptions

A. Cancellation Before Launch

If unsafe weather prevents us from launching: – Your team will receive a full-value weather credit (including deposit), valid for 12 months. – Credits can be used to rebook a future session, subject to availability. – No cash refunds are issued for weather-related cancellations.

B. Interrupted Sessions

  • If 45 minutes or more of paddling time has been completed before weather forces us off the water, the session is considered complete.
  • If less than 45 minutes of paddling has occurred:
    • Your team will receive a 50% credit toward a future booking, valid for 12 months.

6. Advance Weather Decisions

  • Weather decisions are made by our coaches based on real-time conditions, not forecasts alone.
  • Choosing to cancel in advance due to a forecast follows the client-initiated cancellation policy unless conditions are already unsafe.

7. How to Cancel

  • Cancellations must be communicated by email (barrie@corporaterecess.ca) or phone (705-220-3023).
  • The time your message is received determines refund eligibility.

8. Final Notes

By booking a session, participants acknowledge the inherent risks of on-water activities and agree to this cancellation and weather policy. Our goal is always to get you on the water safely and give you the best possible dragon boat experience.
